The registration portal for Trans/Inter/Cross: A Symposium on the Fantastic Between Genres, Media, and Cultures on October 1-3, 2021 is now open! Accepted session participants have already been given a chance to register, but there are still some spaces left for anyone who wants to attend without presenting.

Please be aware that this event is very limited in size, and we believe that the remaining space will go quickly! If you see that all available spots are already taken, you can click through to be added to the wait list (in case of cancellations or other changes). THE PROGRAM

The (draft) program is now online! It’s linked at IAFA’s home page
(https://iaftfita.wildapricot.org/). We anticipate more changes as
people cancel and as we attempt to limit two-person panels.

Presenters, did your plans change? If you had a paper accepted but you
know you cannot attend, please let me know at once so we can remove
you from the program. I’ll update all the relevant people.

Sched: We’ll be using the Sched app in 2020. More info forthcoming
closer to the conference. Full-size souvenir program booklets
featuring fabulous retro artwork will be available

MEALS

If you have decided that you wish to prepurchase merch or attend a
particular meal that you haven’t signed up for, please email me. I can
adjust your invoice to add these extras.

Please also check your travel plans against the meals. If you discover
that your travel plans mean that must miss a meal that you are signed
up for, please email me at once. This is particularly the case for the
Friday guest scholar luncheon, which is included with your
registration.
HOTEL

Important: Please help the conference by staying when you can at the
conference hotel. The conference receives important perks and
concessions that rely on attendees’ staying in the conference hotel.
Please note that the room rate at the conference hotel is the same
regardless of the number of people who share it.

VOLUNTEERING

The volunteer form is now live (https://forms.gle/w5STMcZonRB8RLB88).
Volunteering is available for registration and AV. I will need people
on Tuesday to help me prep packets and badges, so if your schedule
permits, do please come early and help out.

We pay 10 IAFA Bucks per hour spent volunteering. These may be used
for merch and meal tickets (at the preconference rate) at this year’s
convention, or they may be held and put toward next year’s
registration. IAFA Bucks may not be used for this year’s registration,
and they may not be used in the book room, which is financially
independent. Volunteering is a great way for new attendees and grad
students to make connections!

STUDENT CAUCUS AND MENTORING

The student caucus offers a mentoring program for those who are new to
IAFA. They match up students with a long-standing member of IAFA, who
will orient them and introduce them to people at the conference. We
need more mentors! The full mentor call was in the last email sent

MEMBERSHIP TERM ERRORS

The move to calendar-year membership continues to be rocky. I must
check membership for everyone in the program by hand. I freely admit I
may have made errors! If in doubt, please contact me so I can correct
your membership term. Another round of “please sign up for
registration and/or membership” emails will go out shortly. Remember,
you must be a member of IAFA to present.

If you have any questions or need any help with membership renewal or

Conference Hotel: We encourage you to stay at the conference hotel, as it accrues benefits to the organization. The price is the same no matter how many people share the room. The hotel has just released a number of double rooms to us.

Membership term: The membership term has been changed to calendar year. If you suspect that the system did something goofy and the year is off, contact the Registrar to research and fix.

Merch: All merch is now the same price: $20 per piece. Only one size of tote will be available this year. If you realize you would prefer another piece of merch, you can freely exchange it, as there is no price difference.

Problems logging in? What if the system fails to recognize your name/e-mail combination? Don’t create a new profile. STOP and e-mail the Registration and Membership Coordinator, Karen Hellekson. She can update your info.

Are you a joint membership holder? The joint membership administrator first must pay the IAFA membership fee through her own account. Then each person must log in individually and sign up for the conference. If you need to break up a joint membership, email the Registrar, who can handle that bit of paperwork for you. Do you have a credit? (The system will tell you.) Sign up as usual, which will generate an invoice. Then STOP. Do not pay. Instead, email Karen with the invoice number and tell her to apply your credit. She will then contact you with any outstanding balance.

The conference hotel (Orlando Airport Marriott Lakeside) is SOLD OUT. We have arranged overflow accommodations at the Sheraton Suites Orlando Airport, a short walk from the Marriott. The room rate is $165 plus tax, which is higher than the Marriott but less than the rack rate. YOU MUST BOOK NOW if you wish to secure a room. If you have not yet registered, swag and meal tickets may be purchased as part of your registration.

Swag and meal tickets will be available at the Registration desk, but at higher rates, and on a first-come, first-served basis.

The purpose of the Student Caucus (SCIAFA) is to foster and promote growth, scholarship, and fellowship among the student members of the IAFA and to address the needs of students working in the field of the fantastic, by establishing mentoring and other programs, through coordinating efforts with the main body of the IAFA. If you are a student member of the IAFA, you are automatically a member of SCIAFA.

The mentoring program is an important part of the SCIAFA. Since 2001, the IAFA Student Caucus (SCIAFA) has sponsored a Mentoring Program aimed at helping student scholars to find their way around ICFA, discover the natural friendliness of the conference as quickly as possible, use ICFA as an entrance into existing scholarly communities concerned with the fantastic, and leave with both fond memories of the supporting organization and plans to return. This year, the SCIAFA is still accepting participants for the Mentoring Program, and we are in great need of mentors, so please consider signing up. For more information about the Mentoring Program, or to sign up as either a mentor or mentee, please contact Amanda Rudd (rudd.am AT gmail.com).

Hello Everyone!

As the Thirty-Eighth International Conference on the Fantastic in the Arts nears, I wanted to send out a few reminders!  If you haven’t already done so, you can renew your membership and register for the conference here.  

Although you can join the association even if you don’t attend the conference, current IAFA membership is required if you are presenting a paper at the conference, so you should join the association or renew your membership before attempting to register for the conference if you are presenting a paper.

IMPORTANT DATES:

Normal registration rates end on January 31, 2017 at midnight Orlando time, so if you want to take advantage of the regular registration rates, you only have a few days left!

Late registration begins February 1, 2017 and lasts through the conference.

After March 1, 2017, the on-line system will be closed temporarily so that the conference committee can commit to the hotel for space and meal requirements. The system will open again for on-site registration on March 22, 2017.

THE HOTEL:

The conference will be held March 22-26, 2017 at the Marriott Orlando Airport Hotel.  For reservations, please call the hotel’s toll-free number: 1-800-380-6751; or dial direct: 407-851-9000 or use the Orlando Airport Marriott web site.

The IAFA group code for the conference rate is IAFIAFA. Fill it in as the group code if you register on-line or mention it to the hotel if you call in the reservation. The box to fill in the group code is on the left hand side of the screen when you first go to search for a room. It’s below the section where it asks you the check in date and for your Marriott number. Click the “+” sign next to “special rates” and fill in the group code before you click “find.” You can find more information about the hotel here.

The hotel deadline is fast approaching, and rooms will not be available at the conference rate after January 31–and will probably not be available at any rate, so if you haven’t booked your room yet, you may want to soon.

Interested in helping us make ICFA 38 a success? We are looking for volunteers to assist with the book room, registration desk, and A/V. Please use the survey link below to let us know when and where you would like to help. If you know of other people attending the conference that would like to volunteer and earn ICFA bucks to help them keep coming back, please share the survey with them. Please Note: We need extra volunteers to help load and unload the book room.  If you plan on being at the hotel Monday and/or aren’t leaving until the following Sunday or Monday and would like to help with this important task, please indicate your willingness on the volunteer survey or please contact Valorie Ebert, Membership and Registration Coordinator (iafareg AT gmail.com)..

** Book Room Set Up normally begins at 8:00 a.m. on Monday morning.  They need all the help they can get, so if you are at the conference early on Monday, stop by and lend a hand.

Hello ICFA 38 Attendees!

A few reminders:

Please make sure to renew your membership and register for the conference. Early Registration ends on January 14th. Attendees should book their room at the Airport Marriott Lakeside no later than January 31st. Lastly, submissions for the Emerging Scholar Award are due on February 1st.

Dear ICFA Participants:

REDUCED PRICE REGISTRATION ENDS JAN. 14. after which it goes up from $110 to $135 ($165 after Jan. 31)–see prices and cutoff dates attached.

HOTEL: Last year, the reduced-price hotel rooms were sold out by Feb.1–given our increased attendance this year, we recommend booking by Jan. 15.

GRADUATE STUDENTS: Deadline for IAFA Emerging Scholar Award (formerly Graduate Student Award) Feb. 1 (see attached)

Online advance registration for ICFA will continue through next Wednesday, 12 March 2014, 11:59 p.m. Eastern Standard Time (UTC-05:00). Then we will shut down registration so that registration can finalize preparations.

This does not mean that people cannot register for the ICFA.

“On site” registration will open Wednesday, 19 March 2014. Day passes will also be available.
